Operations Manager – Part Time (0.8 FTE)

Raymont Residential College provides comprehensive support and services to over 100 university students residing within the College. While the provision of a high standard of services including catering and accommodation is essential, Raymont also seeks to build a warm community built on mutual respect while enriching the lives of our students through meaningful support programs.

We are seeking an individual who will focus on providing operational support for Raymont, as well as site management responsibilities.

The position’s key responsibilities include:

Operations Management:

  1. Provide financial support to the operational planning process through budgeting and other support documentation.
  2. Refine and update College policies particularly those related relating to risk management, WHS.
  3. Manage all student accounts including the management of aged debtors. This includes the requirement to have an understanding of the StarRez student database system.
  4. Manage all invoices and coding in according with Synod requirements.
  5. Support the Principal with the annual preparation of the College budget.
  6. Supervise the Residential Association annual budget and expenditure.
  7. Support conference group use of Raymont facilities.
  8. Maintain and update the College fire manual including annual certification.
  9. Maintain and update the College risk management register and critical incident plan.
  10. Supervise the Raymont Maintenance Coordinator including the preparation of a five year maintenance plan.
  11. In conjunction with the Maintenance Coordinator, liaise and coordinate activities with external agencies including contractors, service representatives, suppliers, conference co-ordinators and professional consultants in relation to projects, repairs and procurement at Raymont Residential College.
  12. Plan, prepare and implement the College CAPEX plan in a time and cost efficient manner.
  13. Act as Workplace Health and Safety Officer for all areas of Raymont Residential College facilities and operations including the development of the Critical Incident Management Plan.
  14. Supervise the Raymont Catering Manager ensuring catering is maintained at a high standard within budgetary constraints.
  15. Manage the College’s Property and facilities to ensure that preventative maintenance in buildings and other assets (equipment) are quickly identified and remedied.
  16. Review and update major contracts including cleaning, waste disposal, security amongst others.
  17. Carry out regular inspections of all facilities and ensure that a safe and professional standard is maintained.
  18. Maintain financial and administrative records for all areas of responsibility as well as forecasting expenditure.
  19. Oversee the business policies, operations and procedures of the College.
  20. Assist in recruitment, induction, training and review of staff where appropriate.
  21. Develop relationships with other Residential Colleges, particularly their Business Managers, as required.

Site Management

  1. Prepare, maintain and implement a five year site maintenance plan.
  2. Plan, prepare and implement the Site CAPEX plan in a time and cost efficient manner.
  3. Supervise and support the maintenance coordinator in the collection of quotes and CAPEX documents directly related to the improvement of the UCA Site.
  4. With the support of the Raymont Principal, prepare the annual Site operational budget.
  5. Carry out regular inspections of all facilities and ensure that a safe and professional standard is maintained.
  6. Supervise and support the maintenance coordinator in the management of site maintenance contracts.
  7. Review and update major contracts including cleaning, waste disposal, security amongst others.
  8. Maintain and update the College fire manual including annual certification.
  9. Maintain and update the College risk management register and critical incident plan.
  10. Manage all site invoices and approval expenditure in accordance with delegation.

 

What do you need to be successful in this role?

  • Degree in business related discipline is an advantage
  • Demonstrated achievement with a medium (5 years plus) level of experience in operational management roles including managing finances, business procedures and developing maintenance plans.
  • Highly analytical with the ability to break issues into constituent parts, provide advice and implement solutions.
  • Must be able to fulfil all duties and responsibilities in a reliable manner accepting responsibility for the financial and operational requirements of the College.
  • Service: personable with a commitment to building strong relationships with key stakeholders/customers across the Church and its agencies, boards and committees of the Synod
  • Responsibility: demonstrated attention to detail, timeliness, analytical and focussed on outcomes
  • Respect: Excellent communication skills demonstrated in both verbal and written form. Able to develop excellent written submissions, particularly focusing on capital expenditure business cases and conference group submissions. Ability to manage competing views
  • Integrity: demonstrated ability to act with impartiality and honesty
  • Commitment to working within the purpose and values of the Uniting Church in Australia, Queensland Synod and adhering to the policies, organisational requirements and processes

Remuneration

The minimum base salary (exclusive of superannuation) for this position is $67,520 per year.  Remuneration negotiations with the successful candidate will be within the applicable remuneration range.
